Executive Assistant to the CEO and Chair – Genomics England
Paramount are working in partnership with Genomics England to expand their team in order to deliver success Paramount are working in partnership with Genomics England to expand their team in order to with the 100,000 Genomes Project. This is a challenging and fast moving project with the aim to carry out whole genome sequencing on 100,000 participants. Genomics England works with key partners to collect, transport, store, quality check and sequence the samples from participants. The aim for this project is to create a new genomic medicine service for the NHS – transforming the way people are cared for. Patients may be offered a diagnosis where there wasn’t one before. In time, there is the potential of new and more effective treatments.
The purpose of this role is to provide high quality executive personal assistance and administrative support to the Chair and CEO.
*Proactive diary management for the Chair and CEO and arranging internal and external meetings.
*Preparing presentations and briefing notes often with limited input from senior colleagues.
*Arranging travel and hotel accommodation.
*Taking minutes and following up post-meeting action points.
*Proactively managing incoming post, e-mails and calls and drafting and sending standard letters and e-mails.
*Assisting with the collating and distribution of Board and executive level agendas, reports and minutes.
*Identifying opportunities for continuous improvement and managing discreet projects.
*Undertaking general office duties that support the delivery of the executive team’s objectives.
*Looking after visitors.
*Operating office systems, for example filing papers, creating and maintaining databases.
*Overseeing team filing and records management.
*Providing simple IT support.
*Providing cover and support for others in the executive office
*Strong diary and meeting management skills with expertise in managing multiple diaries for senior leadership members.
*Excellent written and interpersonal skills.
*Able to rapidly gain a good understanding of the organisation and its key partners and stakeholders and ability to think strategically.
*Competent use of all standard MS Office applications, with PowerPoint, Word and Outlook as an expert user.
*Good at juggling tasks and prioritising.
*Accurate, with good attention to detail.
*Understanding of standard office management processes and systems.
*Able to work autonomously and manage/ influence others to meet deadlines and required standards.
*Ability to manage stakeholders and build effective relationships at all levels and strong influencing skills.
*Excellent communication skills verbally and in writing, with specific expertise in agenda preparation, minute taking and letter writing.
*Extensive and varied high level administrative expertise, often dealing with confidential material.
*Strong organisational, time management and planning skills.
*Strong team player capabilities enjoying matrix working.
